"Automate prospecting" means very different things depending on who says it. From weekly Excel exports to an AI agent that learns on its own. Below: 5 clear levels, with cost, setup time, and when to move to the next.
Level 1 — Manual with system (public records + spreadsheet)
Cost: 0-50 RON/month · Setup: 2-4 hours
You download weekly lists from Listafirme or ANAF by CAEN + county. You put them into a Google Sheet with columns: company, VAT ID, headquarters, sector, contact, status, follow-up.
When it's appropriate: the first months, until you validate ICP. Up to 20-30 prospects/week.

When it's appropriate: You get 50-200 prospects/week and sell a product with a short cycle (under 30 days).
Limit: Generic template messages give 1-3% replies. Risk reputation domain if you mess up the setup. Doesn't adapt to results.
Level 4 — Automation workflow (Make.com, n8n, Zapier)
Cost: 100-500 RON/month · Setup: 15-40h if you do it yourself, 2000-8000 RON for a consultant

Frequent errors in automation
- Automating too early. If you haven't sold manually the first 5-10 deals, you don't know yet what message works. Automation amplifies what you have — good or bad.
- Buy the wrong tool for the wrong stage. Lemlist for a solo founder pre-launch = burned money. You don't have warming, no test messages, no infrastructure.
